JOB DESCRIPTION

Purpose of the role

The purpose of the Grants Coordinator position is to provide essential grant management support to Grants Manager in delivering quality programmes in line with the NRC Country Office strategy and Plan of Action.

RESPONSIBILITIES

What you will do

  1. Adherence to NRC policies, guidance and procedures and consideration of NRC global and regional strategies when executing functions related to this role.
  2. Develop and maintain an overview of all grants, donor requirements, rules and regulations, and internal and external deadlines, including the filing of grant documents
  3. Coordinate the development of donor applications and reports, as well as ensure donor compliance and quality control
  4. Contribute to the development and revision of funding proposals, budgets, and donor reports
  5. Be updated on donor priorities, trends and track and share relevant calls for proposals
  6. Document, analyze, and share learning from proposal and reporting process, and compliance with donor rules and regulations
  7. Contribute to continuously improving internal grant management systems
  8. Provide an internal help-desk on donor related issues, including organize and deliver trainings in donor rules and regulations, as well as proposal and report writing
  9. Coordinate the development and distribution of internal reports 
  10. Contribute to Project Cycle Management (PCM) trainings and usage of the NRC PCM framework in the Country Office as delegated by the Head of Programme (HoP)

 

Specifically, you will;

  • Coordinate the process of gathering information for the donors,partners, and internalreports,  including checking the contractual requirements as well as drafting and compiling the reports with country and area office teams to ensure accurate, transparent, and timely delivery of narrative, financial and logistics reports.
  • As delegated by the Grants Manager, organize the preparation of concept notes and proposals in close cooperation with Programme Development Managers, Specialists, Project Managers, M&E, finance and logistics departments, and other relevant departments.
  • Ensure copies of donor concept notes, proposals, contracts, reports, as well as other relevant documents are correctly filed on NRC’s filing system and are also kept and organized in hard copy.
  • Capacity building and support training in the field, specifically in the area of report writing.
  • Ensure quality and timely communication and coordination with NRC partners(including local NGOs and international NGOs) for all phases of PCM (assessment of partners,  contract process, reporting, implementation)
  • Ensure that programmes, M&E,finance, logistics and other support functions are aware of the  requirements and conditions of grant agreements.
  • Ensure that grant coordination systems and processesare successfully implemented across the life  of thegrant.
  • Support external donor audits.
  • Represent NRC with relevant partners and donors as delegated.
  • Carry out other tasks as delegated by the Grants Manager.

Contract Duration: until 31 December, 2023 (our contract renewal cycle runs from January to December)
Duty Station: Erbil- Iraq with 30% (to different field locations in Iraq)
Health Insurance is provided
Salary: G7/S1, According to NRC’s Iraq salary scale and terms and conditions.

Qualifications & requirements

Professional competencies

  • Between 3-5 years of relevant experience within field of expertise
  • Relevant experience from the project management in the humanitarian sector
  • Experience from working with humanitarian and development donors
  • Good understanding of donor rules and regulations 
  • Skills and experience in report and proposal writing
  • Strong communication, coordination and interpersonal skills 
  • Strong analytical skills (data and financial)
  • Ability to mediate in high-stress scenarios with competing interest 
  • Excellent written and oral communication skills in English 
  • Experience in an international NGO preferably in a post-conflict setting, including capacity and systems development.
  • Strong organisational and team workingskills.
  • Good cultural awareness and sensitivity
  • Above average computer skills
